Homeowners Association (HOA) events are an excellent way to bring the community together. But not every HOA has experience managing events like a community fall festival, so they can be a bit intimidating. If you’re thinking of hosting a fall festival in your HOA community, here are some things to consider when planning your event.
Tips for an HOA Hosting a Community Fall Festival
If your HOA is considering organizing a community fall festival but doesn’t have much experience with these events, you’ll want some guidance. Here are some tips for creating a fun, memorable, and low-risk event.
1. Check Your Governing Documents
Before doing anything, review your HOA’s governing documents. Determine if there are any specific rules or processes related to community events. If you plan on using association money for your fall festival, there might be restrictions on how you can spend those funds. For example, some communities might not allow the HOA to spend money on alcohol.
2. Plan the Date and Time
Once you have an idea about the HOA rules and any constraints, you can move forward with your plans. Consider the best date and time for your fall festival. Book it far enough in advance that residents can make plans to attend. You’ll also want to have enough time to plan an amazing event.
3. Set Your Budget
Some HOAs set money aside for community events. Others require that a social committee raise money for them. Either way, you need to know how much money you have available to spend so you can create a budget for things like:
- Food
- Games
- Prizes
- Decorations
- Promotion
4. Consider Creating a Committee
If you don’t already have a community event committee, consider forming one. This type of social committee will be made up of current residents who want to see the event succeed. They can apportion out the tasks and raise any concerns leading up to the event.
5. Promote Your Event
Don’t miss this step. If you want people to attend your community fall festival, you need to tell them about it. Make sure you inform people (repeatedly) about the date, time, and location of the festival as well as all the fun things that will be happening. You can post flyers around the community, send emails, and post messages on community social media pages.
6. Don’t Strive for Perfection
No event will come off without a hitch, so don’t worry about achieving perfection. Maybe it will rain, or a popular vendor will fail to show up. What you can do is try to anticipate any problems or risks in advance. Then, once your event is over, take stock of what went well and what you can improve on for next time.
